Office Manager / Administrative Assistant (Full Time)
Location: Livermore, CA
Kemper CPA Group LLP, a top 100 public accounting firm, is a multifaceted regional CPA firm with 28 offices in Indiana, Illinois, Kentucky, and California. We are currently seeking qualified candidates for an Office Manager/Administrative Assistant position in our Livermore, CAoffice.
This position is responsible for providing support to Kemper CPA Group LLPs accounting practice. A strong sense of customer service and the ability to build relationships is essential to be successful in this role. Experience with general office support, scanning, photocopying, filing, and receptionist coverage is required. This position is full time with some overtime expected during peak seasons.
Responsibilities
- Provide high level support to personnel
- Communicate with clients in-person, on the phone, through email or other written correspondence
- Assemble and review tax return packages and other work products prior to delivery to client (ensure all documents are signed, proper mailing envelopes are included, verify method of delivery, update internal tracking system, prepare for mailing/electronic delivery)
- Proofread and assemble financial statements prior to issuance
- Scan client documents in accordance with firm protocol
- Editing and track engagement letters for new and existing clients
- Complete client set up forms for new clients/engagements
- Track the delivery of tax returns within firm software
- Manage the extension process for all deadlines
- Process weekly timesheets, client billings, and bank deposits in accordance with the requirements set by the firms Administrative Services Department
- Enter bills to be paid in bill.com for partner approval
- Help maintain schedules for office staff
- General administrative tasks word processing, photocopying, filing, scanning
- Receptionist duties, including answering the phone and assisting clients in person
- Data entry and support for bookkeepers and payroll staff
- Additional duties as assigned

Required Qualifications/Experience
- High school diploma or equivalent (Required)
- Experience providing support for a tax practice: 2 years (Preferred)
- Administrative support: 2 years (Preferred)
- Experience with tax software a plus
