Administrative Assistant  (Full-Time)
Location: Devils Lake, ND
Job Type: Finance/Accounting

Job Title: Administrative Assistant Department: Accounting Reports to: Finance Manager

Job Status: Full Time Schedule: 8:00am-4:30pm M-F

Summary:

To provide administrative support to NPRC. This position will be specifically working with the Accounting and Human Resources departments while performing a variety of administrative duties.

Essential Duties and Responsibilities but are not limited to:

Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. Directs visitors by maintaining employee and department directories; giving instructions.

Receives, Records, Distributes and Prepares Mail Daily, Postage Meter Updates.

  • Issuance requests and tracking of purchase orders.
  • Responsible for selecting and purchasing office supplies.
  • Ordering office supplies & forms.
  • Administration of Wright Express Account -add/remove & changes, as well as Phoenix Fuel System.
  • Carhartt-Safety Boot-ordering and updating list.
  • HRMS Data entry.

Make purchases for Company (Sams, Menards, etc.), Assist with Meal Coordination.

Update and manage corporate address list-900 addresses currently and current listings in all directories.

Assist in performing Weekly Accounts Payable check runs and mailing/distributing checks.

Backup to requests for W-9 forms and credit applications.

  • Backup/Assist in processing of Accounts Payable;
    • Timely and accurate entry of vendor invoices.
    • Posting of AP vouchers into GL.
    • Assist in the filing of all AP vouchers and any related accounts payable journals.
    • Assist, research, and resolve invoice and payment issues vendors.
    • Invoice Scanning
  • Management Support: various activities, projects and/or initiatives working with specific requests from the Executive/Management Team.
  • Manual/Digital Records retention system -manage the input and organization of such.

Other duties as assigned.

Competencies:

To perform this job successfully, an individual should demonstrate the following competencies:

Proficiency with Microsoft applications is expected. Ability to work independently.

  • Employee must pay attention to detail, deadline-oriented, maintains strict confidentiality, time management, data entry and positive customer and employee relations.
  • Demonstrates the ability to be organized and work on multiple projects and meet deadlines by setting priorities with work projects.
  • Valid drivers license.

Education and Training:

Associates Degree preferred.

3+ years of Administrative experience.
