Program Scheduling Specialist  (Full Time)
Department: IFS-Individual & Family Services

Minimum Education/Experience:

High School Diploma with 6 years of medical office administration experience; Associates Degree in Medical Administration, Billing and Coding or related Health Care Administration Degree with three years medical office or other administrative experience or Bachelor’s degree in a health care field and at least one year of administrative experience in a medical office/clinic, and experience with electronic medical records systems and general knowledge of medical terminology and/or an equivalent combination of education and experience.  Proficiency with Microsoft Office programs.

Responsibilities:

Maintain a valid North Carolina Driver’s license and an “acceptable” driving record and drive vehicles on Center business.   Create and maintain a schedule for Applied Behavior Analysis (ABA) and Home & Community Based Services (HCBS) programs.   Point of contact for families and staff in the ABA and HCBS programs to schedule and cancel sessions.   Maintain a list of on-call staff to cover as/if needed.   Coordinate ABA and HCBS staff schedules inappropriate scheduling software (When I Work, MITC, Therap).   Compare service notes with scheduled sessions to ensure all documentation is complete and matches the time and length of the session.   Compare scheduled sessions to MITC (or other payroll software) to ensure payroll is accurate.   Provide support and training to staff on payroll software as needed in collaboration with human resources.   Will be cross-trained in securing and inputting authorizations, checking eligibility, and conducting intake to cover when another administrative staff is out of the office.   (See TLC Program Intake Coordinator Job Description).   Participate in on-call rotation for TLC Program Administration.   Assist assigned programs general office support (office supplies, monitor laminator needs, etc.)

Hours/Days of Work:

40 hours per week (non-exempt); Weekly schedule must be flexible to meet the needs of programs, including some evening and/or weekend meetings.  

 Pay Rate:

Pay rate TBD; Excellent benefits package includes – Medical, Dental, Vision, Life, Paid Holidays, Long/Short Term Disability, PTO, EAP, and 403b retirement plan.
