Program/Location: Central Office (Mission Bay Park)

Administrative Assistant - Central Office

Hours: 40 hours per week; Monday to Friday.

Pay Rate: $20.00 to $24.00 per hour

Overview:

Our Central Office is located in the Mission Bay/Linda Vista area and provides Management Support Services for all of the mental health programs of Community Research Foundation (CRF) and PERT, Inc. The office consists of six departments: Administration, Human Resources, Accounting, Information Technology, Real Estate and Facilities, and Quality Improvement.

Typical Duties of the Administrative Assistant

This position organizes, coordinates and monitors administrative functions including data entry, reporting, and tracking information. A high level of confidentiality is required in this position.

  • Coordinates the reception function, ensuring guests and clients are greeted and telephones are answered. Ensures that calls are screened properly, and routine inquiries are handled appropriately.Central point of contact for calendaring and resource scheduling.
  • Manages the Central Office facility and ensures office security procedures are maintained and monitors safety and comfort of staff, visitors, and guests. Facilitates communication for building repairs, cleanliness of interior and exterior of building, assists with property inventory, and oversees maintenance of office supplies. Manages key operators for fax and copy machines and voice mail system. 
  • Facilitates the Central Office inventory management and yearly audit.
  • Coordinates and processes various orders and invoices; manages assigned Central Office vendors; and provides order tracking and review of invoices.
  • Distributes mail accordingly and manages office mailing needs.
  • Maintains common area spaces – kitchen and conference rooms.
  • Coordinates the payment methods for purchasing. May organized the documentation for corporate credit card.
  • Monitor and maintain proper document storage, files and document management practices – paper and digital.
  • Provides administrative support for Executive Management and main support for Central Office staff. In collaboration with department managers, orients and assists new hires with required on-boarding procedures.

Qualifications/Skills Requirement

 

  • High school diploma or equivalent required
  • Five or more years administrative support experience to include a high level of demonstrated organizational and communication skills
  • Experience in providing support for large organizations and Executive level staff
  • Professional verbal and written communication skills
  • Excellent phone etiquette, attention to detail, ability to multi-task and maintain confidentiality required
  • Intermediate knowledge of Microsoft Office to include Outlook, Word, Excel applications, as well as internet research skills required
  • Database skills and working knowledge of digital design programs such as Vizio or Photoshop preferred
  • Reliable transportation is required to fulfill the essential functions of this position. A valid California driver’s license in good standing and proof of insurance are required for employees driving personal vehicles on company business.
  • Must be able to pass criminal/background clearance
